Job Description:

A prominent art gallery seeks a driven, motivated and eager Executive Assistant to support a gallery executive in overseeing the day-to-day operations of the gallery. The schedule for the position is Monday through Friday, roughly 10am-6pm with the OVERRIDING flexibility to work additional hours as the need arises. The role will primarily be corporate tasks with approximately 10% personal tasks. The ideal candidate will possess strong interpersonal and organizational skills and have a passion for the arts. The role entails frequent interaction with clients, so the utmost discretion and professionalism is a must. The ideal candidate will thrive in unstructured and unpredictable environments and enjoy working independently and also cohesively with the close-knit team at the gallery.

Responsibilities and areas of needed expertise include, but are not limited to:

  • Acting as an all around gatekeeper to the gallery executive for contractors, clients, and vendors
  • Maintaining a busy and ever-changing calendar with constant communication and follow-up
  • Monitoring business expenses, managing all required travel itineraries, etc.
  • Developing and maintaining connections with new and existing clients and artists
  • Assisting as an advisor on and resource for questions
  • Coordinating new art shows and exhibits; overseeing all aspects of timeline, from new artists to show openings
  • Overseeing and assisting in planning special events with flexibility to transition into any role as the need arises
