Requirements:

  • Strong command of English language; superb communication skills, both written and verbal
  • Excellent references required from both current and previous employers
  • Minimum 5 – 10+ years related experience working in a similar role for a private estate or family
  • Bachelor’s degree from an accredited 4 year College or University PREFERRED
  • Exceptional organizational skills and dedication to responsibilities; above and beyond attitude
  • Flexibility in scheduling with willingness to work long hours and overtime as needed
  • Comfortable and confident working in high stress, fast-paced environments where the utmost discretion and confidentiality are required
  • Strong time management skills and task prioritization; willing to work on a team with other private service individuals
  • Technology savvy with proficiency in both Mac and PC systems and smart home technology; strong Excel skills are a MUST; adept in operating smart home technology and accompanying security systems
  • Valid Driver’s License with clean driving record and zero points on license

Job Description:

Private New York family seeks a naturally motivated, detail-oriented, and experienced Personal Assistant and House Manager to assist with the continuous coordination, management, and maintenance of their residence and organization of the principals’ personal and professional endeavors. The schedule consists of a five-day workweek, Monday – Friday, roughly 10:30am – 5:30pm daily, with OVERRIDING flexibility to work additional hours when needed and requested. The ideal candidate must thrive in unpredictable, high-pressured, and unstructured environments.

 

The family consists of Mr. and Mrs. and two children, one who is adolescent and one who is grown. The ideal candidate is a self-starter who is swift, clever, and energetic. The candidate must be discrete and able to understand professional boundaries within the position. Additional duties include scheduling events for the family as well as coordinating activities for the principals’ adolescent child. The family owns three residences, one in the Hamptons, one in New York City and one in Utah. As such, additional position components will consist of traveling to the family’s seasonal residences as needed.

 

The division of this role is roughly 50% personal assistant-related tasks relating to the principals and 50% managerial tasks interacting with all vendors and contractors. Taking initiative and having a professional mindset is key to succeeding in this role. This individual must possess strong leadership and interpersonal skills to effectively be a liaison to domestic staff ensuring seamless organization and efficiency within the residences. The ideal candidate must be confident, reliable, hands-on, and possess the ability to quickly transform to any additional role when needed without being asked to do so.

 

Job responsibilities include, but are not limited to:

  • Serving as an all around gatekeeper to the principal
  • Assisting with calendar planning, scheduling, commercial travel coordination, and 
meeting logistics
  • Personal shopping, stock procurement, grocery shopping, running errands, and concierge work
  • Demonstrating a hands-on approach to daily house maintenance
  • Responsible for onboarding and training of additional household staff including scheduling and payroll and overseeing their related tasks and responsibilities
  • Managing all vendor and contractor relationships including calendaring, accounts payable, project management, etc.
  • Oversight of all deliveries, renovation projects and general maintenance of the residence; making client aware of any necessary repairs or purchases that are beyond the scope of the household staff
  • Liaising new relationships, as well as maintaining previous relationships with residence vendors and contractors
  • Ensuring the proper care of fine art, furnishing, and wardrobe
  • Supervising renovations within the home, as well as additional home-related projects
  • Maintaining vehicles to ensure guest readiness at all times
  • Any additional tasks relating to Personal Assistant / House Manager roles as needed and upon request
